Corporate Executive Assistant
This role reports to the Chief Navigating Officer and interacts with the entire team. This role will work approximately 20 hours per week.
Responsibilities include:
Manage calendar strategically plan and manage complex and frequently changing schedules across time zones, including internal and external scheduling
Manage travel booking (hotels, air, rental cars, etc.), tracking credits, submitting receipts and coordinating with accounting
Scan emails throughout the day to accomplish our goal of client response within reasonable time, as well as urgent scheduling matters
Track and report expenses
Provide administrative support for events (ordering materials, printing, confirming logistics, etc.)
The ideal applicant:
3+ years of c-level executive assistant experience
Excellent listening and communication skills
Attention to detail and ability to judge and prioritize
Be politely tenacious
Focus on tasks through completion
Experience working remotely across multiple time zones and scheduling, arranging travel across them
Ability to confidently communicate with C-level executives, and line supervisor levels equally, with a professional and precise demeanor
Extremely comfortable with various time zones (scheduling, coordinating travel, etc.)
Self-motivated, detail-oriented, organized and not afraid to ask questions
Courageous with feedback/comfortable offering differing opinions or calling out unintended consequences
A desire to learn and grow
Expert with cloud document storage solutions (Dropbox and Google drive), proficient in Microsoft office, and familiarity with project management platforms (ClickUp, Slack, Mailchimp, Hubspot) and/or ability to learn quickly
