Legal Administrative Assistant – 3 – 6 years experience
Fully remote position must be in Eastern Standard Time Zone.
Part-Time, 1099 Contract – starting at 6 months…
Hourly: $23-$26
20 hours a week on average
Remote legal assistant needed for small, but busy, law firm, reporting to the firms managing partner.
Your duties would include:
Maintain Case Management System
Ensure ALL deadlines are added to the planner & assigned to either an attorney or paralegal
Keep the deadline spreadsheet updated as new dates are added
Download all ECFs Filings that are sent via email
Download each filing & save to the clients SP site in ECF Filings folder using the naming convention 001 Complaint
Read through the filings & update the SP site, planner, AND the deadline spreadsheet as needed
Routinely update case contact information for clients, opposing, council, EEOC, and MSPB contacts to keep clients contact sheet updated
Coordinate & help run the Weekly Team Meetings
Update deadline spreadsheet prior to weekly meetings (check planner & group email address when updating for the most up to date case information)
Update spreadsheet/deadlines during team meetings & take notes
Send notes to the team, update planner, and complete tasks from meeting
Create new SharePoint Sites for all new clients & add to existing firm lists
Routinely checking the Group emails for new updates & documents
Download all documents sent to the group email so they are saved in clients file, such as motions filed, drafts of motions, documents client sends, etc.
Maintain the Firm business phone system
Train/transition new employees into the Firm
Schedule SharePoint training w/new employees to go over the basics. Send them the training guide prior to so they have for reference.
Add new employee to relevant SP sites & to the Team Communication Site
Communicate w/clients via phone & email
Provide them with weekly/monthly case updates as needed
Schedule meetings w/attorneys
Help gather any relevant client documents for attorney review by sending them a Onedrive link
Help maintain Attorneys calendar
Schedule all client meetings either via Teams or P/C. If teams, set up a new meeting & send an invite to the client.
Draft, edit, and file & send legal documents as needed
Create Notice of Appearance, Withdrawals, Letters of Representation, Notice of Deposition, etc. for attorney review & then to opposing counsel or other contacts
Draft Motions as needed for the firm
Add TOCs & TOAs to motions for attorneys as needed
Help with appeal briefs & appendices as needed
File documents in the EEOC portal for attorneys as needed
E-file new EEOC cases for attorneys in the firm
Monitor EEOC email & portal
Send Quarterly Attorney Fees
Index Client Provided Documents
Write deposition summaries for the attorney as needed
Assist with discovery process for cases
