About the job Remote Administrative Assistant/Receptionist
We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude. Candidates should be able to assist management and all visitors to the company by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail, making reservations for travel arrangements, and generally being a helpful and positive presence in the workplace.
To be successful as an administrative assistant, candidates should be professional, polite, and attentive while also being accurate. They should always be prepared and responsive, willing to meet each challenge directly. Administrators will be required to use Microsoft Office and should demonstrate proficiency with Microsoft Word, Outlook, PowerPoint, and Excel. Most importantly, administrative assistants should have a genuine desire to meet the needs of others.
Duties and Responsibilities
Arranging staff meetings and scheduling appointments
Answering or transferring phone calls and taking messages for select staff members
Maintaining the office calendar
Write memos, meeting minutes, and email inquiries, correspondences, invoices, and receipts, and create spreadsheets and other reports as needed
Keeping the office database and filing system up to date and organized
Purchasing office, classroom, kitchen, and food supplies
Assisting with managing work with vendors
Assist with organizing both internal and external community events
Maintaining social media accounts
Performing some Human Resources Management functions
Working with office equipment vendors to purchase and maintain office equipment such as printers and fax machines
Sorting and delivering all mail and faxes
Handling office tasks, such as filing, generating reports and presentations
Collate and distribute mail
Write and edit documents from letters to reports and instructional documents.
Create and maintain filing systems, both electronic and physical
Manage accounts and perform light bookkeeping
Preparing agendas for meetings and making arrangements, such as cording catering for staff meetings, luncheons, committee meetings, board meetings and other administrative meetings
Work in a standard office environment with extensive public contact and frequent interruptions
Physical Requirements.
Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight 50lbs; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; to travel to other locations using various modes of private and commercial transportation, and to verbally communicate to exchange information.

Pay: $11.00 – $14.00 per hour
