Virtual Administrative Assistant Position Description (Data Specialist)
The More Than Giving Company is seeking experienced data-specialized, virtual administrative assistants to join our exclusive, top of the line, Nonprofit Virtual Assistant (NPVA) Service. Our NPVAs are proactive, organized, and excellent project managers. Our clients look to our NPVAs for guidance and direction, as well as the ability to independently manage administrative operations.
We are seeking individuals to perform a variety of administrative tasks for nonprofit organizations, with a focus on data specific projects and clients. All activities will be performed virtually.
The data specific tasks include:
Data management, cleaning, defining categories
Updating and creating naming conventions based on data categories and… fields and process documents
Managing data audits, repairing errors, implementing solutions
Updating data management and process documentation for various application integrations
Salesforce and other CRM integration improvements
The duties of the NPVA role also include the following skills:
Schedule and manage board meetings and committee meetings; record and distribute notes; attend monthly board meetings virtually
Maintain the organizations master calendar
Manage and update organizations contact database
Assist in donor engagement and in drafting solicitation letters
Manage and update donor/sponsor information
Provide administrative support to fundraising and special events
Maintain event registration
Assist in the development and execution of email campaigns
Manage email and process general correspondence
Manage social media platforms
Marketing Assistance
Assist in board engagement activities
Document management and records retention
Light bookkeeping
Project management
Provide webinar support
Professional Requirements:
Applicants must have a minimum of 2 years as a virtual administrative assistant – no exceptions
At least 3 years experience working with nonprofit organizations is a must – no exceptions
Minimum 5 years experience as an Administrative/Executive Assistant is required – no exceptions
College degree is preferred, some college or related certification is required
Excellent time management and organizational skills
Excellent written and oral communication skills
Technically savvy
Highly proficient in MS Office, MailChimp/Constant Contact, Dropbox, Google Suite, Zoom
Proficient in Trello/Asana, Eventbrite, Calendly, LinkedIn, Facebook, Twitter, Instagram
Additional:
Must have reliable high-speed internet connection, computer hardware and software, reliable phone/headset
Must be based in the U.S.
Candidates will be asked to provide 3 references and two writing samples
Must agree to complete The More than Giving Co NPVA certification program
Must agree to a criminal background check
Hired contractors are required to have their own equipment and professional liability insurance
