Position Overview:
We are seeking a highly organized and proactive Virtual Assistant to support Julie Skolnick with various administrative tasks. The ideal candidate will have experience with calendar management, billing, event coordination, and general administrative duties. This role requires excellent communication skills and the ability to handle multiple tasks efficiently.
Key Responsibilities:
Calendar Management:
Manage and update calendars using Calendly and Google Calendar
Rescheduling clients when conflicts arise
Ensure Calendly is functioning properly and make necessary adjustments
Meeting Preparation:
Create and provide preparatory documents for meetings
Creating zoom links and inviting meeting attendees
Communicating with clients and professionals
Client Management:
Input potential client information into Airtable
Onboard clients using Hello Sign
Email completed onboarding documents to Julie Skolnick
Communicate with clients, answering questions, scheduling, and rescheduling as necessary.
Inbox Management:
Respond to speaking, article, and podcast inquiries
Communicate with clients to answer questions and assist with scheduling
Delegate tasks to Media Strategies and Web Administrator as necessary
Communicate with membership to answer questions
Event Management:
Keeping Airtable updated with events, dates, deadlines, expectations
Coordinate exhibiting opportunities and communicate with conference hosts
Manage exhibiting details and occasionally oversee booths at events
Update conference apps with relevant information
Design presentation templates
Book Launch Coordination:
Schedule book signings and tours
Communicate with the Penguin Random House team as needed
Travel Coordination:
Arrange and manage travel needs for Julie Skolnick
Membership Support:
Send out Weekly emails to share membership assets (webinars, articles, details about events and meetings
Create and send zoom links to membership
Contact experts and schedule interviews
Oversee Discord chat
Contact Management:
Utilize platforms such as Active Campaign, Vimeo, Gsuite, Access Ally, and WordPress for managing contacts and related tasks
Miscellaneous Administrative Tasks:
Organize and manage files in G-Drive
Document and maintain Standard Operating Procedures (SOPs)
Qualifications:
Proven experience as a Virtual Assistant or relevant administrative role.
Proficiency with Airtable (or comparable project management platform), Calendly, Google Calendar, G Suite, Canva, zoom.
Familiarity with Active Campaign, Vimeo, Access Ally, and WordPress.
Excellent organizational and multitasking abilities.
Strong written and verbal communication skills.
Ability to work independently and handle confidential information.
Experience in event coordination and travel management is a plus.
Contract Details:
This is a contractor position with flexible hours.
Ability to work remotely.
Compensation will be discussed based on experience and qualifications.
