Brella Productions, a Creative Production Agency for Corporate Events and Training, is hiring an experienced Virtual Assistant for our two-member executive ownership team. This full-time employee position (no contractors please) will be 8am-6pm CT M-F with a flexed schedule to maintain a maximum of 8 hours per day. Key Responsibilities and Tasks:
? Manage Exec team?s schedule and calendars
? Assist with their communication management – Email, phone, text, slack, social media
? Assist with their Expense Management ? Experience with Expensify a plus
? Research and coordination on a variety of topics
? Manage executive ?to dos? ? Experience with ClickUp a plus
? Remote support and coordination of corporate meetings. May include note taking or delivering information or direction on behalf of the executives.
? Remote support and coordination of in-person activities. Support may include arranging hospitality, deliveries, purchasing needed items, coordinating with maintenance, reviewing vendor activities via mobile phone, managing setup/breakdown of rented spaces etc.
? Travel Coordination
? Vendor research and management
? Coordinate follow-up with other Brella team members on Exec team?s behalf.
? Create or maintain documents, research summaries and spreadsheets
Requirements:
? Minimum of 3 years of experience as a Virtual Assistant or Administrative Assistant. Must have worked at least one year with someone in a hybrid or fully remote capacity.
? An individual who finds purpose in helping others through their work
? Experienced in organizing, prioritizing, and sharing tasks quickly in an all-digital environment
? Experience creating detailed, easy to read directions.
? Experience taking notes on computer, summarizing and including clear takeaways and next actions.
? Active listening skills
? Comfortable seeing problems or issues, presenting them, and proposing potential solutions for consideration
? Required Technology: Highly proficient in Microsoft Outlook, Word, Excel, Zoom or MS Teams
? Optional Technology: Experience in ClickUp, Slack, Expensify, Adobe Acrobat and/or AI note taking/productivity solutions.
? Employee must provide a stable internet connection for this position
? Must be US based and have availability Monday through Friday 8:00am ? 6:00pm central time with a maximum workday of 8 hours. Candidate will co-design with Executive Team a schedule for coverage of peak hours and breaks.
